How to apply

Applying to study at UJEP is a structured process carried out through the university information system IS/STAG. Below you will find a step‑by‑step guide to help you navigate the application procedure.

Step 1 Choose your study programme

Further details about the study programme offer — including where to find it and how to explore it — can be found in the Study Programmes section. Check whether the programme is taught in Czech or English, and verify that it is offered for the academic year in which you plan to study. Also check the available form of study (full time or combined). You can find this information on the relevant faculty website or on the main university website under the section titled Podmínky přijímacího řízení (Admission Requirements). Faculties usually publish the Admission Requirements 4 months before the application deadline.

Step 2 Read the Admission requirements

All information related to applying for your chosen study programme is included in the Admission Requirements. These outline the conditions for admission, required documents and the method of their submission, recognition of previous foreign education, entrance exams, language requirements (including the required proficiency level), the application fee, all relevant deadlines, faculty contact details, and other specific instructions.

Step 3 Prepare the required documents

When applying for a study programme, you will need to prepare several documents, such as your passport or ID, documents proving your previous education, certificates of language proficiency in Czech (or in English for English‑taught programmes). Some faculties may also require a CV, a motivation letter, a medical certificate, a portfolio or other supporting documents.

A complete list of required documents, including deadlines and the method of submission, is always provided in the Admission Requirements – so check them carefully!

Please note that some documents must be officially translated into Czech by a certified court translator. If you upload documents electronically as part of your E‑Application, certain documents must be submitted in the form of an authorised electronic conversion*. If the faculty requires an officially certified copy, the electronic document (PDF) must include an authorised electronic clause. A simple scan or photo (even of a notarised paper document) is not legally sufficient. Only an authorised conversion ensures that the digital copy has the same legal validity as the original.

* Note: What is an authorised electronic conversion?

It is a process in which an original paper document is converted into a digital PDF and provided with an official clause confirming its authenticity. The resulting file (PDF) has the same legal validity as an officially certified copy.

How to do it:

  • Visit a Czech POINT office – bring your original paper document to any Czech POINT location (post office, municipal office, notary).
  • Request the service – ask for authorised conversion from paper to electronic form.
  • Receive the converted PDF file – the clerk scans the document, adds the official conversion clause, and sends the file to the Czech POINT secure storage called “Úschovna”. You will receive a paper confirmation with a download code.
  • Use the code at czechpoint.cz to download the PDF to your computer/phone.
  • Upload the PDF file to your E‑Application – do not rename, edit, or merge the file, as this would invalidate the electronic seal!

Step 4 Fill in and submit your E-Application in IS/STAG

While completing your E‑Application, pay special attention to the section Additional information / Additional data for the application. In this section, you choose how you wish to prove your previous foreign education. Here you inform the faculty whether you will provide a general recognition of foreign education issued by the relevant authorities in the Czech Republic, or whether you would like UJEP to assess your foreign educational documents as part of the admission procedure. Please tick the appropriate box accordingly. While completing your E‑Application, also pay attention to the notes and additional explanations hidden under the “?” symbol.

Step 5 Pay the Application fee

The fee must be paid for each submitted E‑Application. Available payment options include online payment, bank transfer, or QR code. The deadline, payment method, and exact amount are specified in the Admission Requirements and in the E‑Application.

Step 6 Upload all required e‑documents to your E‑Application by the deadlines

Keep in mind that some of the submitted files must include an authorised electronic clause. The procedure is described in detail in Step 3.

Step 7 Take the required entrance exams (if applicable)

If your chosen study programme requires entrance examinations, you must take them as instructed by the faculty. All details regarding the format, dates, and requirements will be provided by the faculty.

Step 8 Track the status of your E-Application

After logging into your E‑Application, you can follow the processing of your E-Application, payment status, and the results of the admission procedure. Please keep in mind that you may also see notes from the study department with additional instructions and notices if something is missing or inconsistent.

Step 9 Check the results and wait for the Admission Decision

Once the admission procedure is completed, the official Admission Decision will be issued and made available in your E‑Application. You will be notified when the decision has been published.

Step 10 Enrol for study

After receiving a positive Admission Decision, follow the instructions provided by the faculty to complete the enrolment process. You will be informed about the required documents, deadlines, and the method of enrolment. On the day of enrolment, you officially become a student of UJEP.
